Document assembly is performed automatically at the recognition stage. If any errors occur during the automatic assembly, they must be corrected at the verification stage. To determine whether the document is assembled correctly, the order of pages and the number of their occurrences in the document is checked. Besides, the values of the key fields can be used to check the correctness of document assembly: the values of the key fields must be identical on all the pages of the document. Document assembly errors are corrected in the batch view (in the left-hand pane) and in the document image view (in the central pane). The pages of each document are arranged top to bottom. If a key field is specified for a page, its value is displayed under the page. For each document, a list of errors is displayed. Each type of error has its own icon, with the number of errors of the given type shown next to the icon:
  • - document assembly error
  • / - single-field / multifield rule error
  • / - single-field / multifield rule warning, or the document has non-matched fields
If any errors occur when processing documents, the text of the error messages will be shown above the page thumbnails in the batch editor. If a document contains a page recognized with low confidence, the name of the page and the name of the document will be marked in red. The program will also display an assembly error for the document. To confirm one low-confidence page, right-click the page and then click Confirm Page Section on the shortcut menu. To confirm all low-confidence pages, right-click the document and then click Confirm Document Definition on the shortcut menu. If a multipage document is recognized as a collection of documents or the wrong section is selected for some pages, this means that the wrong Document Definition has been selected. To fix the error, you need to group the faulty pages into one section:
  1. Gather all the pages into one document, arranging them in the right order.
  2. Select the pages that belong to the same section.
  3. Right-click the selection and then click Group into Section on the shortcut menu.
The grouped pages will now be recognized as a multipage document. You can change the image scale for a selected page on the document image panel by scrolling the mouse wheel. Hovering the mouse pointer over the pane, hold down the Ctrl key, and scroll the mouse wheel. Scrolling the mouse wheel without holding down the Ctrl key will move the image vertically. From the shortcut menu of the pane, you can choose to view the image of the current page in color or switch to displaying all pages in color. By default, pages are displayed in black and white. If necessary, enable the color mode by selecting the respective option in the document image pane. To correct document assembly errors, use the toolbar buttons described below.
  • Change the order of pages if necessary. To do this, select one or more pages to move, left-click on the page(s) with a mouse and move it to a desired place while holding the mouse button.
    Note: If necessary, you can select several pages. To select multiple consecutive pages, select the first of them, press the Shift key, and then select the last page. You can select multiple non-consecutive pages with a mouse while holding down the Ctrl key.
  • If necessary, you can rotate the selected pages 90° clockwise or counter-clockwise or rotate them 180° using the corresponding shortcut menu commands.
  • To delete pages, select them and click on the toolbar at the top of the page or select the Delete command from the shortcut menu.
  • To change the matched definition, select one or more documents using the selection fields to the left of the documents names, click in the top toolbar and select a desired Document Definition from the list.
  • To change the definition of the document section matched on pages, select the pages and click or use the corresponding shortcut menu command.
    Note: To apply the changes, you must send the batch that contains the page to the re-recognition stage or re-recognize at the current stage.
  • If needed, a document can be recognized anew without creating a new task. A second recognition is required when modifying a Document Definition, resetting recognition results, or updating a Document Definition to the latest version. To recognize a document, do one of the following:
  • Click Recognize on the data form.
  • Click the button on the top toolbar.
  • Select Recognize on the document’s shortcut menu.
  • Select a document and press Ctrl+R.
Note: When modifying a Document Definition before initiating the recognition process, it is possible to revert to the previous Document Definition by clicking the corresponding button on the data form.While the document is being recognized, other documents from the same batch are available to be worked with. Once the recognition has finished, a message displaying the number of recognized documents will appear at the bottom of the page.
  • To merge documents, select them using the selection fields to the left of the document names and click on the toolbar at the top of the page, or use the Merge command on the shortcut menu.
  • To split a document, click to activate the split mode. Next, hover the mouse pointer over the space between the page thumbnails where you want to split the document. A separator will appear. To exit the split mode, click again.
Once you are finished, click on the toolbar at the top of the page. The changes will be applied on the server.
When processing a verification task, you may also need to send it to another processing stage, postpone or cancel the task, or get information about the task or the batch. To do this, use the buttons located in the right-hand section of the screen.You may need to send a task to another processing stage in the following cases:
  • You cannot process the task yourself. In this case, click the button to send the task to Exceptions.
  • You cannot perform verification because of the poor quality of the source images. In this case, send the task to the rescanning stage by clicking the button.
  • The task must be processed at another stage. In this case, a senior verification operator can send the task to any processing stage he/she sees fit by clicking the button.
Note: When you send a task to Exceptions, to the rescanning stage or to any other stage, a dialog box will open where you will need to specify sending options.You may also need to postpone or cancel a task in the following cases:
  • You cannot process the task at the current moment. In this case, postpone the task by clicking the button. The postponed task will be available only to you. No other operators will be able to process it until the task is returned to the queue. To process a postponed task, go to the list of postponed tasks in the queue view. To return the task to the queue and make it available to other operators, take the task into processing and then click the Cancel task button.
  • You want to return the task to the queue and make it available to other operators. In this case, cancel the task by clicking the button.
After you perform all the required actions, click the button to complete processing the task.To continuously process document batches, flick on the Receive tasks automatically toggle in the task view:
  • enabled
  • disabled
You can choose to receive tasks automatically to process batches from the general queue or from a specific queue.
  • If a queue contains tasks available to you, you will receive them after the current task is completed
  • If you received the first task from the general queue by clicking Get any task, with the automatic mode enabled, the next task will be taken from the general queue
  • If you received the first task from a specific queue, with the automatic mode enabled, the next task will be taken from the same queue
If the queue is empty after you close the current task, postpone it, or send it to another stage, the standby mode will be activated. When a new task arrives, it will be opened in the browser tab with the web station. The title of the tab will flash until you open the tab. To exit the standby mode, click the Exit standby mode link.If you are in the queue view and there are no available tasks at the moment, you can activate the standby mode by clicking Wait for task.If you cancel the current task, the Receive tasks automatically toggle will be turned off.
